Fit-out in the Gulf runs on a compressed programme. Handover dates move forward, not back. The shop drawings are late before the package is even awarded, and the joinery subcontractor is waiting on a detail that hasn't been approved yet.
Outsourcing shop drawing production is a common answer. It works — but only if you know what actually causes packages to be rejected.
What a shop drawing has to do
A shop drawing isn't a prettier version of the consultant's design drawing. It has two jobs, and they pull in different directions:
- Get approved by the consultant and main contractor.
- Get built by a workshop that will follow it literally.
Drawings that only do the first are the expensive failure. They come back stamped, go to the joinery workshop, and generate a stream of site queries because the fixing detail was never resolved or the material thickness was never stated.
Fabrication-level means: materials and finishes specified, edge profiles drawn, hardware scheduled, fixing and jointing details resolved, and setout dimensions that work against the actual site survey rather than the design intent.
Why the time zone matters more here than anywhere else
Gulf fit-out doesn't run on formal RFI cycles. It runs on WhatsApp, against a programme, with the drawing due yesterday.
India is an hour and a half ahead of Gulf Standard Time. Effectively the same working day. A site query at 10am in Dubai gets a revised detail the same afternoon, not the next morning.
Compare that with outsourcing to a team eight or ten hours behind, where every clarification costs a day. On a fit-out programme, a day per query is the difference between hitting handover and not.
If your drafting partner won't work on WhatsApp, they haven't worked in this market.
What gets packages rejected
In rough order of how often it happens:
Wrong submittal format. Approval stamps, revision clouds, drawing numbering and title blocks all have to match what the consultant expects. This is trivial to get right and constantly gets it wrong.
Setout that ignores site reality. Drawings dimensioned off the design model rather than the as-built survey. Everything coordinates perfectly on paper and nothing fits on site.
Unresolved interfaces. Where joinery meets flooring, where the ceiling meets the partition head, where services penetrate. The detail everyone assumed someone else was drawing.
Missing hardware and material schedules. The drawing shows the item; it doesn't say what it's made of or what it's fixed with.
No MEP coordination. Services drawn independently of the architectural package, with clashes discovered during installation.
Authority requirements
Depending on where the project sits, documentation requirements differ — Dubai Municipality, DDA, Trakhees and the free-zone authorities each have their own expectations.
Confirm up front which authority governs the project and whether your drafting partner has produced packages under that regime before. "We can figure it out" is an expensive answer on a programme.
Choosing a partner: what to actually check
Ignore the service list on the website. Every drafting outfit claims all of it.
Ask instead:
- Can they show fit-out shop drawings they've produced? Anonymised is fine. Look at whether the fixing details are resolved.
- Will they work in your title block and numbering? From the first drawing, not after three revisions.
- Who reviews before it comes back to you? If nobody senior checks it, you're the checker, and you've outsourced typing rather than drafting.
- What's the turnaround on a revision? Same day matters more than the original delivery date.
- Will they sign an NDA before receiving files? Non-negotiable.
Test before you commit
Send one detail. A reception desk, a vanity, a wall panelling section — something representative that you'd otherwise draw yourself.
Any serious partner will draft it free, under NDA, and return it quickly. Then look at it the way your joinery workshop would: could you build from this without calling anyone?
That single test tells you more than any capability statement.
